How does the RFQ process work?

Submit a Request for Quote (RFQ) with your part number(s), required quantity, and delivery destination. You can also upload a BOM file in Excel or PDF format directly from the form.

We review every submission and respond with pricing, availability, and estimated lead time within 24 hours on business days.

The more detail you provide, the faster we can respond. Ideally include:

Part number(s) or model names — exact OEM P/N preferred
Quantity — exact units or estimated range
Condition preference — Factory New (NIB) or Working Pull
Delivery destination — country and city
Target price — if you have a budget in mind
Timeline — required delivery date or lead time constraints

For large orders or full BOM lists, upload your file directly via the RFQ form.

A typical order follows this timeline:

Quote response: Within 24 hours of RFQ submission
Compliance screening: 1 business day (BIS/Entity List check)
Order confirmation: Upon receipt of signed PO and payment
Sourcing & preparation: 2–7 business days depending on item
Shipping: 3–10 business days depending on destination

Allocated or hard-to-find items may require additional sourcing time. We will communicate any delays proactively.

Submit an RFQ with your P/N or BOM file — if it exists in the market, we will find it.

What are your order minimums?

Minimum order is 1 unit. We work with buyers ranging from single-unit procurement to bulk pallet orders. There is no formal MOQ.

That said, unit pricing is more competitive for larger quantities. If you are purchasing a single high-value item (AI accelerators, for example), that is fully supported. If you are evaluating a bulk purchase, mention your total target volume in the RFQ and we will provide tiered pricing.

Yes. Pricing scales with volume. For large or recurring orders, we can offer structured pricing agreements. Include your estimated annual or quarterly volume in the RFQ notes and we will factor that into the quote.

Repeat customers and established partners receive priority sourcing and expedited response times.

What is the difference between NIB and Working Pulls?

NIB (New In Box) refers to factory-sealed units sourced directly from authorized distribution channels or directly from manufacturer inventory. These units are:

NIB is recommended for production deployments, data center builds, and any use case requiring full warranty coverage.

Working Pulls are enterprise-grade components removed from decommissioned hyperscaler or data center environments. Before shipment, all Working Pull items are:

Tested & Verified Functional Graded by Condition Cleaned & Inspected

Working Pulls offer significant cost savings over NIB — typically 30–60% lower — and are ideal for lab environments, development clusters, capacity expansion, or budget-conscious builds.

All Working Pull items ship with a MICA Supply functional guarantee. If a unit fails on arrival, we replace it.

A general guide:

Choose NIB if: You require full OEM warranty, the item will be in a production-critical environment, or your procurement policy mandates new hardware.

Choose Working Pull if: You are building a dev/test cluster, expanding capacity, need a cost-effective solution, or the item is EOL and no longer in production.

Shipping, delivery, and lead times

We serve customers across four primary trade corridors:

North America United Arab Emirates Hong Kong Southeast Asia Europe

Shipments to destinations outside these corridors are evaluated on a case-by-case basis. All international shipments are subject to export compliance screening prior to booking.

Lead times depend on item availability and destination:

In-stock items: 2–5 business days after order confirmation
Sourced items: 5–14 business days depending on supply chain
Allocated/scarce items: Timeline quoted on a per-case basis

Express shipping is available for urgent requirements — mention your deadline in the RFQ and we will prioritize accordingly.

Yes. We prepare full commercial documentation for all international shipments, including:

Commercial Invoice — itemized with HS codes
Packing List — unit count, weight, dimensions
Certificate of Origin — where required
Export License documentation — for controlled items

For items subject to EAR controls, we work with licensed freight forwarders experienced in dual-use goods compliance.

BIS, EAR, and End-User requirements

Many of the products we handle — particularly AI accelerators and high-performance computing components — are controlled under U.S. Export Administration Regulations (EAR) administered by the Bureau of Industry and Security (BIS).

The End-User Statement is a legal declaration confirming that the hardware will not be re-exported, diverted, or used in violation of applicable export laws. This protects both parties and is a standard requirement in legitimate hardware brokerage.

Before confirming any order, MICA Supply screens all parties — buyers, end-users, and intermediaries — against:

BIS Entity List OFAC SDN List Denied Persons List Consolidated Screening List

This screening is non-negotiable and applies to all transactions regardless of order size. We reserve the right to decline any order that raises compliance concerns.

Payment methods and terms

Payment details are confirmed at the time of quotation and vary by order size and customer relationship. Please include payment preference in your RFQ or contact us at [email protected] to discuss terms.

Extended payment terms may be available for established customers with a verified order history. First-time orders typically require payment prior to shipment. Contact us to discuss your requirements.
